After you create an Excel organisation, you can update the spreadsheet and upload it again with any amendment or new data.
⚠ CAUTION: Any upload will overwrite the existing data in this organisation.
If you want to keep the data that you already uploaded and want to add more for the following periods, make sure you add to the existing spreadsheet without deleting the data already uploaded.
If you remove the existing data from the template and upload it, it will remove that data from Futrli.
Quick Steps
When you first log in to Futrli, go to the Organisations tab.
If you're already within an organisation, click the organisation name in the top right, then click Manage organisations.Click Update values next to the relevant Excel organisation.
The - Update the excel data - window will display.
Step 1: Download the last uploaded file from the list.
To add new data for new periods, make sure to download the latest file.
If necessary, scroll down the list to check the dates and select the most relevant file for you.
If you already have an existing template ready to upload, skip to step 6.
Step 2 - Update
Update the downloaded file with the most recent data from your accounting package.

Step 3 - Upload
Once the file is ready, drop it into the upload panel or click to browse and open the file.
Validation
The system will scan the file to check for any errors.
Once the upload is complete, it will show Success next to the file. Click Finish.

Updating existing data - FAQ
When you update the values in your Excel organisation, we recommend working from the last spreadsheet uploaded. You can keep the settings and accounts already set up, and add new data for the new periods.
You can also amend the existing values, or remove the existing data to replace it completely.

Yes, you can update the values for data already uploaded. The new data will overwrite the existing information linked to the associated account code. You can change account names but if you change the account code, it will create a new account and won’t update the existing one.

Yes, if you want to keep the data, it needs to be left in the file to be reloaded again.
If you remove the previous data from the file, it will be deleted from the product after the new upload.

To add historical data, you need to add new columns and create new period headers.

You can add new period columns manually or automatically. The method will depend on whether you want to start from the last upload, or if you want to insert data for a previous period.
Add data for new periods since the last upload
You can reselect the same start date (B3+B6). The period headers will automatically regenerate in the P&L tab row 7, and in the Balance Sheet row 5, up to today's date.
Insert data for a previous period
If you want to insert data for a previous period, you will need to manage this carefully.

The headers will update automatically, but the previous data will stay in the same columns under the wrong period. You’ll need to move the data across to the right position.

You’ll need to replicate the required formula below into the new header, but the subsequent cells won’t update automatically. You’ll need to update the whole row to make sure the sequence is correct.
To expand the formula to the new columns, select the last period cell and drag it to the right to copy and paste the formula.

You can change the VAT schemes, period settings and company name. This will replace the existing settings.

You can add new rows to add new accounts.
⚠CAUTION: You can change the account names for existing accounts, but make sure not to change the account codes, as it will create a new and different account in the system.

If you change the order and categories from the Chart of Accounts section in Futrli after the first upload, it won’t be reflected in the spreadsheet after that. You can move the accounts in the spreadsheet in the next upload to align with the system.
If you didn't change the order from within the Chart of Accounts, but change it in the new file, it won’t update the system. Reclassified accounts will stay in the category as per the Chart of Account, regardless of future spreadsheet imports.

Forecasts and reports created previously aren’t deleted, as long as the account codes aren’t changed.
