An overview of account codes in Excel organisations.

Every account in an Excel organisation in Futrli will have an Account code. This account code is used in the system to differentiate one account from another. This will be used as a unique reference to update the accounts values later.

📎 NOTE: The account code is used by the system in the background and won’t be visible in Futrli once data is uploaded. Only the Account name will be visible in the Chart of Account after the upload.

Default codes

In the Excel organisation template, each account category has 20 account rows ready to be populated. Each of those 20 rows will have a unique account code.

What do I do when adding new rows in the template?

When adding a new row into an account category, the new row will need a new account code. We recommend adding rows to the bottom of the category, then continuing with the default account code structure.

EXAMPLE: If you require a 21st Income account, right-click on row 28 (which will be the 20th Income account on the template), then click Insert 1 Row Below.

On that new row, the account category will still need to be set as Income, we would then recommend the account code be set as INC-021.

Can I use my own account codes?

You can customise and modify the default codes, but only on the first upload.

You need to make sure to use the same account codes whenever you update your data on subsequent uploads.

If no changes are made, the default account code will be used (INC-001, INC-002 etc.)

⚠CAUTION: You can change an account name but never change an account code of an account that has been previously uploaded.

What happens if I don’t add an account code?

If you don't add an account code, the system will automatically create one when you upload the spreadsheet into Futrli. However, this isn’t recommended, as you won't have the visibility of the code created. This means that when updating the organisation by uploading a subsequent spreadsheet, the account code column will remain blank. This also means you won't be able to change the account name if needed.

⚠CAUTION: Don’t add an account code into the blank space if the account has already been uploaded.

This won’t update the account. Instead it will override the account previously uploaded, and remove the original account. That would mean that any predictions set up against the account, any reports displaying that account, or any formulas build referencing that account would be lost.

Updating account names

Having an account code as an identifier means you can then change account names, as long as you don't change the account code.

What happens if I change an account name without an account code?

It wouldn't update the account, instead it would effectively delete the original account, and upload a new account. That would mean that any predictions set up against the account, any reports displaying that account, or any formulas built referencing that account would be impacted.
