Apply a switch rule to a balance sheet account

How to apply switch rules to balance sheet accounts in your chart of accounts (COA).

Updated over 2 weeks ago

Switch rules allow you to move accounts between categories depending on the value of the account.

For example, if the value of an account in the Bank Accounts category is negative, it can be automatically re-categorised to the Current Liabilities or Non-Current Liabilities category.

  1. Under the Chart of accounts section, click the Balance Sheet tab.

  2. On an account, click the toggle under Switch rule.

A list of categories and accounts. An arrow points to a toggle option in a 'Switch rule' column to the right of the accounts.

  3. You’re told whether the account is an asset or a liability, and whether it will move to an asset or liability if the values are negative.

Under Category to switch to, select the category you want the account to move to if values are negative.

  4. Click Save.

Once activated, the toggle shows as green with a description next to it that informs you where it moves to, if negative.
